Daily Workflow – Step by Step Process

Go to Trello and check ALL of your tickets on To-Do column. You can filter your tickets by press Q on your keyboard.
Read the brief carefully and make sure you have everything you need to work on the request. For each ticket, ask yourself the following questions:
- Are the attachments complete?
- Do I have access to the links provided?
- Are the dimensions provided?
- Instructions/revisions are fully understood?
- Are there any inspirations given?

Go to Clockify and add the necessary details. Start your Clockify timer. Move your ticket from To Do to In Progress.
Reading, understanding, searching, and anything you do is included in your time. Revisions from your QA should also be added later on.

Update Client Activity in Notion. Once updated, check the appropriate checkbox in the “Designer and QA checklist”.

Accomplish the Designer and QA Checklist as you work on your ticket – not only after you’re done.
It’s important that you review the quality of your work before you even send it to To Review to minimize revisions as much as possible.

Once you’re done with your work, or you already provided a sufficient design for you client, upload your design work, including designs files, fonts, etc to Box.

After everything’s uploaded to Box, write a note on the Trello card. The note is how designers communicate with their clients. Feel free to write as much as you want about the rationale of your design.
You can learn how to create notes on your second day. Don’t worry we have templates that you can copy and paste so it will be easier for you.

Remember, if the ticket you are working is not yet done and you still need to continue it tomorrow, add a label to the ticket as Send Update. Send update tickets will still need to be checked by your QA and will be sent to your client.
If you’re delivering a finished ticket, create a mock-up and add a label Mocked-up.

Stop your Clockify timer. Once it’s stopped, check the appropriate checkbox in the “Designer and QA checklist”.

When you’re done working on ticket, uploading updated files to Box, checking Designer and QA checklist, adding notes, move the ticket from In Progress column to “To Review” column.
Make sure to press “Q” to remove the ticket filter and drag the ticket to the very top of the to “To Review” column.

The QAs will review the ticket for Quality Assurance. QAs check for first come first serve basis so while you wait for your tickets to be checked, proceed to your next ticket.
- If there are any revisions:
- The QAs will move your ticket back to To-Do list. You will then be tagged by the QAs in your respected squads to tell you about the revisions.
- Depending on the priority level of the tickets, you may work on the revisions after you’re done working on your current ticket or you may pause your current ticket to work on the revisions.
- If there are NO revisions:
- The QAs will move your ticket to To Send. You don’t need to do anything here, continue on your next ticket.

The account managers/virtual assistants will then send the tickets to our clients. Once they’ve sent it, the ticket will be moved from To Send to Completed.
